Lead Tracking

Greetform routes qualified subscribers to local business buyers as leads. This page explains exactly what happens during that flow, what is shared with the local business, and how subscribers can opt out. It is a companion to the Privacy Policy.
1. When a session is created
A session is created when someone lands on a newsletter operator's onboarding flow (for example, a URL on the operator's domain or app.greetform.com/b/<brand>). Each session has its own ID and is tied to the operator's brand and published survey version. We capture:
- The session ID, brand slug, and published survey version.
- Server-side timestamps for the session, each response, and each offer event.
- IP address and user-agent string, used for fraud prevention and rate limiting.
2. What survey responses we store
Every answer a subscriber gives in the survey is stored against the session ID, including:
- The question identifier and the option chosen, or the free-text answer entered.
- The branch the survey took based on conditional logic.
- The offer that was matched and shown.
3. When a lead is captured
A lead is captured when a subscriber explicitly chooses an offer and provides contact details (typically email, sometimes phone or address) to be introduced to a local business. At that moment we save a lead record with:
- The subscriber's contact details as entered.
- The matching survey answers that qualified the lead.
- A consent record: the timestamp of the click that authorized the introduction and the exact offer language the subscriber saw.
- The brand, operator, offer, and lead destination (the local business that purchased the lead).
Leads are saved before any email or third-party sync runs, so the operator and subscriber always have a verifiable record.
4. What we share with the local business
When a lead is delivered to a local business buyer, the business receives:
- The subscriber's contact details as entered for that offer (typically email, sometimes phone or address).
- The specific survey answers that qualified the lead for their offer (e.g. ZIP code, owner vs renter, timing).
- A timestamp and offer reference.
The local business is contractually required to use this information only to fulfill the offer the subscriber claimed, to honor a request to stop contact, and to comply with applicable consumer-protection and anti-spam laws.
5. What we do not share
- We do not share full survey transcripts or unrelated answers with the local business. They only receive what qualified the specific lead.
- We do not share IP addresses, device data, or other technical metadata with the local business.
- We do not sell subscriber data. Leads are introductions tied to a specific consented offer, not data resale.
6. Email sync to the operator's newsletter
If the operator has connected Beehiiv (or another ESP), the subscriber's email and basic survey tags may be synced to the operator's subscriber list under the operator's existing subscription terms. This sync is a retryable job; it does not block the subscriber's experience.
7. Offer events
After a lead is delivered we record offer events for transparency and reporting: shown, clicked, claimed, delivered to buyer, and any operator-recorded outcome. These events are visible in the operator dashboard and are used to compute payouts.
8. Subscriber rights and opt-out
- To stop being contacted by the local business that received a lead, reply directly to that business or use the opt-out link they provide.
- To request deletion of a lead or all your records, contact the newsletter operator who collected the data, or email tj@greetform.com and we will route the request to the correct operator.
- To unsubscribe from the operator's newsletter, use the unsubscribe link in any newsletter email.
9. Retention
Lead records are retained for the life of the operator's account plus a short reconciliation window (typically 30 days) so disputes can be resolved. After that, identifying details are removed; aggregated counts may be retained for reporting.
